Private Event Booking Rules

Fire Alarm:

  • At the start of each activity, point out the nearest emergency exit. Remind participants that in case of fire alarm, they must exit the building and not re-enter until the Fire Department has given permission.

  • Ensure that all fire exits are kept clear. 

Your Group:

  • must follow the policies of the Community Centre. If you do not have a copy of the Policy Document, please request on from the BHCC Office at 

Balloon & Candle use:

  • Helium Balloons are strictly prohibited. 

  • Candles, votives may ONLY be used in hurricane lamps

The Facility:

  • Dishes & trolleys are to thoroughly cleaned and put away. 

  • Refer to Dish Washer Manual to ensure correct dish washing cleaning procedure.

  • Ensure facility is in "Ready state" for next user.

    • follow "furniture" layout and ensure furniture is put back where it came from​.

    • vacuum and wash floor/surfaces as necessary

  • Your group must adhere to BHCC Private Event Policy (refer to document below).

  • The SELLING of beverage alcohol is strictly prohibited. Alcoholic beverages my be served to the guests at NO CHARGE. 

  • Food and beverages my be provided on a cost recovery basis. 

  • The Booking resident will ensure that children do not have access to the lower level without adult supervision and & otherwise misuse the BHCC property. 


  • Complete the Clean-up, Fire & Security Audit.

  • If you are the last person to exit (10pm close) turn out lights & lock the Front Door. Exit through south front door. 

Liability Insurance:

  • Briar Hill Community Centre has Commercial general Liability Insurance Policy which covers bodily injury and property damage for all residents. This policy does not include private liability coverage if you (the event organizer) is named in a lawsuit by a non-resident guest who attended the event. To avoid the risk of being held personally liable in a lawsuit it is highly recommended the event organizer obtain Special Event Insurance coverage. By submitting this application you understand and agree to the above liabilities as set out. 

Room Rental Fee

  • Great Room $250

  • Great Room & Kitchen $300

  • East Room $150

  • East Room & Kitchen $200

  • Lower Level Centre & East Room $150

  • Patio $100

  • Memorial No Charge


  • A booking deposit is required at time of booking.

  • A cancellation fee of $100 will be charged for cancellations within 30 days of the event.

  • There will be a mandatory Event Monitoring fee of $15 per hour. (minimum 4 hours equalling $60)
